Everything that happens after the shift

Six things, all in one place, all built for a phone in one hand.

Shift Notes

Formal, private and yours. Draft until you complete it, then locked.

Handover

What the next worker needs — separate from your formal note.

Incidents

Structured reporting with severity, actions and notifications.

Invoicing

Auto-filled from the shift, with the right rate for the day.

Your Books

Income and expenses tallied by financial year, ready to export.

Compliance

Screening, first aid and insurance, with expiry reminders.

In full detail

Everything the worker app does. Free-plan features are marked; the rest are on Solo and Pro.

My Day home screen

Today's supports, upcoming events, new handovers, new messages and important updates — on one deliberately small screen. You know what needs you without opening anything.

Participant profile

Overview, Important Information — preferences, key contacts, communication needs — and What's New, which answers "what changed since I last supported this person?"

Shift notes

Participant, date, start and finish, support category, support provided, outcome and progress, comments, incident indicator. Draft until you complete it, then locked.

Personal quick phrases

Save the sentences you write every week and insert them with a tap. This is how the two-minute shift note actually happens.

Handover

Short, factual, operational — for the next worker. An optional "needs follow-up" flag turns it into an action item on the coordinator's dashboard.

Incident reporting

Injury, behavioural, medication, missing person, property damage, safeguarding, other — with severity, immediate action, emergency services and notification tracking.

Invoice creation & PDF

Auto-populated from the shift note. Your business details and the participant's plan manager are saved once and reused every time. Always preview before it goes.

Time-of-day rate presets

Weekday day, weekday evening, Saturday, Sunday and public holiday rates per support item — chosen automatically from the shift's date and time, by state, with an editable override.

Travel & expense line items

Kilometres at your saved per-km rate, provider travel time, entry fees, parking and purchases — with a receipt photo attached to each one.

Send & track invoices

Emailed straight to the stored plan-manager address, then tracked: Draft → Generated → Sent → Paid, with Overdue flagged and Cancelled available.

Income & expense tracker

A simple set of books, not an accounting platform. Paid invoices become income automatically; add income and expenses by hand too. CSV and PDF export by date range.

Compliance wallet

Screening check, first aid, CPR, insurance, licence, registration and qualifications, with expiry reminders at 30, 14 and 3 days and a status chip your coordinators can see.

Shared calendar

Supports, appointments, meetings and transport on one participant calendar — an activity calendar, not rostering and not payroll.

Team communication

Messages attached to the participant, not scattered across three group chats. Read receipts, attachments and full history — plus read-only posts from your coordinator.

Safety & community tools

Emergency screen with tap-to-dial 000 and 131 444 (works offline), accessible toilets near you, defibrillator locations and patrolled beach status.

Install it like an app

A progressive web app — add it to your home screen with its own icon, from any phone. No app store, no update prompts.

Works without signal

Drafts save to your phone with a clear "will upload when online" state, then sync when the connection returns — with duplicate protection so nothing lands twice.

Your data, exportable

Progress report PDFs, invoice history and CSV exports of income and expenses — available on every plan, including Free. Nothing is ever locked in.

The admin isn't the job — but it's where the hours go

Ask a support worker what they like least and almost nobody says the support.

How it usually goes

  • Notes in a phone app, a paper diary, or three different provider portals
  • Invoices rebuilt in Word every fortnight, weekend rates worked out by hand
  • "What happened on Tuesday?" — scrolling back through a group chat
  • No record you can hand over when someone asks for documentation
  • Tax time: a shoebox, a bank statement and a bad afternoon

How it goes with SW Ally

  • One place per participant — notes, handover, calendar, documents, incidents
  • Invoice auto-filled from the shift, with the right weekend or public holiday rate
  • What's New tells you exactly what changed since you last saw that person
  • Dated, structured, exportable records that hold up when someone asks
  • Income and expenses already tallied by financial year
The shift flow

Two minutes, one hand, in the car

Everything about the note screen is built for the reality: a phone, one hand free, and a worker who wants to go home.

  • Smart defaults. Date and time prefilled from the calendar event, last support category preselected, participant carried through the whole flow.
  • Your own quick phrases. Save the sentences you write every week and drop them in with a tap.
  • Dictation-friendly. Big free-text fields that work properly with voice-to-text. No AI writing your notes — they're your professional record.
  • Autosave, always. Never lose writing to a dropped call, a flat battery or an interruption.
  • Big targets, bottom navigation. Reachable with a thumb, readable in a car park at dusk.
  1. Open the participant

Important Information and What's New first — so you walk in knowing what changed.

  2. Provide the support

Optional start and finish if it helps you. No clock-in surveillance either way.

  3. Write the shift note

Support provided, outcome, comments. Draft until you complete it — then it's locked.

  4. Add handover if needed

Short, operational, and separate from your formal note.

  5. Create and send the invoice

Auto-filled from the shift. Preview the PDF, send it, and it's tracked from there.

Invoicing & money

Get paid without the Sunday-night spreadsheet

NDIS pricing changes with the day and the hour. Doing that by hand every fortnight is how invoices end up wrong — and wrong invoices are how you end up unpaid.

  • Rates by time of day. Weekday, evening, Saturday, Sunday and public holiday presets per support item, chosen from the shift's own date.
  • Public holidays by state, with an editable override when you need it.
  • Travel and expenses. Kilometres at your saved rate, entry fees, parking — with a receipt photo attached.
  • Status you can see. Draft → Generated → Sent → Paid, with overdue flagged before the plan manager forgets.
  • Simple books. Paid invoices become income automatically, and you can add income or an expense by hand in ten seconds — including work billed outside SW Ally.

No coordinator? No problem

SW Ally works completely on its own

You don't need anyone else on the platform for it to be worth using. Plenty of independent workers run their whole practice here solo.

Notes are your professional record

Stored, dated, structured and exportable — for whenever the NDIS, an auditor, a family or a future coordinator asks for documentation.

Invoice plan managers directly

Save each participant's plan manager, submission email, reference and payment terms once. After that it's generate, preview, send, track.

Know what you actually earned

Income, expenses and net on one screen — this month, this quarter, this financial year. Tax time stops being an afternoon you dread.

If a coordinator connects later, nothing gets lost or migrated — your existing participant history stays exactly where it is, under your account.

Compliance wallet

Worker screening check, first aid and CPR, insurance, licence, registration, qualifications — stored once, with expiry dates.

  • Reminders at 30, 14 and 3 days before expiry
  • Coordinators see a status chip — Current, Expiring soon, Expired
  • You choose which documents are shared

Safety & community tools

The things you need when the paperwork isn't the problem.

  • Emergency screen with tap-to-dial 000 and 131 444 — works offline
  • The coordinator's card and the participant's emergency contacts
  • Accessible toilets, defib locations, patrolled beach status
  • After a 000 call: "Do you need to report an incident?"

Why workers choose SW Ally

  • Documentation done in about two minutes
  • No colleague can ever read your shift notes
  • Weekend and public holiday rates worked out for you
  • No clock-in, no GPS tracking, no manager dashboard
  • Keeps working when the signal drops
  • Your data exports whenever you want it

Notes done in the car, invoice out the same evening — that is the whole brief we are building to.

Your notes, your privacy

No colleague reads your shift notes. Ever.

Two workers can share a participant and still never see each other's formal notes. Handover exists precisely so continuity doesn't require exposing your records.

Your coordinator sees notes for their own participants — that's their job. Nobody else does. And it isn't a setting somebody could flip: the restriction is written into how the data is queried, so there is no path to a colleague's note at all.

Pricing

Start free. Pay when it's earning you money.

One participant free forever. Paid plans from $19.99 a month, each with a 7-day free trial. Support coordinators are free on everything.

Support worker questions

Do I need a support coordinator to use SW Ally?

No. An independent worker can run the whole thing alone — participants, notes, invoices, income and expenses. If a coordinator connects later, your existing history stays intact under your account.

Can another support worker read my shift notes?

Never. Your coordinator can see notes for their own participants; a colleague sharing the same participant cannot — that rule is enforced in the database queries themselves, not just hidden in the interface.

Does SW Ally claim NDIS payments for me?

No. SW Ally creates, sends and tracks your invoices to plan managers and self-managed participants. It doesn't lodge claims through the NDIS portal, and it isn't accounting software — at tax time you export the year and hand it to your accountant.

What happens when I lose signal mid-shift?

You keep writing. Drafts autosave to your phone and show "Saved on phone — will upload when online". When the connection returns everything syncs, and duplicate protection means a flaky connection can never create the same note twice.

Is this another clock-in, GPS-tracking app?

Deliberately not. No clock-in surveillance, no GPS tracking, no rostering, no payroll. Those are explicitly out of scope.

Can I add income I billed outside SW Ally?

Yes. Paid invoices become income automatically, and you can add income or an expense by hand — with a receipt photo — for anything billed elsewhere.
