Privacy comes first here. An RFS sends participant information outside the platform, so: you tick a consent confirmation before it sends, only the fields you explicitly selected are included, initials-only is the default until a provider is engaged, and every send is audit-logged — what went out, to whom, when.

Your first week

New accounts start with a clearly-marked demo participant so you see a working product instead of empty screens.

    Email and password. No card, no sales call, no minimum number of participants.

  2. Add your participants

    Unlimited. Each is a single shared record — never duplicated per worker, so history stays whole when the team changes.

  3. Invite your workers

    They accept by email and get their own account. A worker already using SW Ally with another coordinator just gets connected — nothing to migrate.

  4. Assign workers to participants

    This is what grants access. Remove an assignment and access ends immediately.

Coordinator questions

Is it really free, or free-for-now?

Free, deliberately and permanently. Coordinators aren't a revenue line for us — independent workers on paid plans are. Your account has unlimited participants and unlimited workers with no feature gates.

What if my worker already uses SW Ally with another coordinator?

They keep one account. A worker can support participants connected to several different coordinators, and each relationship is separate — a coordinator only ever sees their own participants.

Do my workers have to pay to work with me?

Coordinator connection and team collaboration sit on the paid worker plans, from $19.99 a month, and every paid plan starts with a 7-day free trial. Most workers are already paying for it because that's also where invoicing lives.

Can I see my workers' invoices?

You see invoice status for your participants — sent, paid, overdue. You don't see or control a worker's rates, business details or financial settings. Their business stays theirs.

Can I require a shift note before an invoice is raised?

Yes — that's a coordinator setting for your own participants. Turn it on and a worker can't raise an invoice for that participant until the shift note is completed. It isn't imposed on everyone, and a worker with no coordinator has no such gate.

Can I export a participant's history if we leave?

Yes. Progress report export produces a PDF over any date range, and data export is available on request. Your records are never locked in.

Is SW Ally rostering or payroll software?

No, and it won't become one. No clock-in surveillance, no GPS tracking, no rostering, no payroll. It's documentation, coordination and invoicing.

Does recording an incident notify the NDIS Commission?

No. SW Ally records and manages incidents internally with a full audit trail. Your own reporting obligations to the NDIS Quality and Safeguards Commission remain yours.
